Black Swan Event Planning

Solutions for the problems you never saw coming

Your project is stuck between an idea and reality. We help it cross the gap.

Most ambitious projects don’t fail loudly. They stall, sprawl, or quietly burn money—because no one slowed down enough to understand the full system before building.

You already have smart people. What’s missing is shared clarity across software, operations, data, UX, vendors, and leadership. The real risk lives in the gaps between those things, where assumptions pile up and no one owns the whole picture.

We work in the hard middle most teams can’t afford to touch.

Black Swan Event Planning is a project-based consulting practice for complex initiatives that fall outside your core competencies. We’ve spent decades working between designers and engineers, founders and developers, tools and real-world constraints.

We’re comfortable with ambiguity, patient with complexity, and very good at turning fuzzy ideas into artifacts people can actually build from. We know most consulting deliverables are expensive garbage. We’ve had to clean up after them. Our work is meant to be used.

A simple way to make hard projects workable.

  1. Understand the full system

We talk to stakeholders, map real workflows (including the unofficial ones), and surface hidden constraints — technical, human, regulatory, and organizational.

  2. Make it concrete

We produce artifacts that specialists can actually build from: functional requirements, interaction flows, technical specifications, integration strategies, and clear scopes.

  3. Get it moving

We help assemble the right talent, oversee execution where needed, and stay involved long enough to ensure the plan survives contact with reality.

The kind of work that doesn’t fit neatly anywhere else.

We’re typically brought in when “someone needs to get this under control.” That often includes technical project management, software planning and oversight, process mapping, systems integration, R&D and prototyping, feasibility studies, and writing execution-grade specifications.

We do a lot of glue work: connecting people, data, tools, and workflows. That includes one-off software and automation (often AI-driven), data governance research, and work involving sensitive or regulated data, including medical data.

If it sounds broad, well that’s the point.

Why this works when other approaches don’t.

We’re generalists by design, which means we see interactions specialists miss and ask the questions no one else has time for. We slow ourselves down so your project can move faster. Our communication is precise enough that engineers trust it and clear enough that non-technical stakeholders stay aligned.

The result is fewer surprises, better estimates, calmer teams, and projects that ship correctly instead of heroically.

If your project doesn’t fit the org chart, let’s talk.

We work on a project basis, often early, sometimes mid-stream, always where the gaps are. If your initiative is complex, cross-disciplinary, or already a little uncomfortable — that’s usually a good sign.
